1. Introduction

These Terms and Conditions (Terms) govern your access to and use of the Holistic Physio Fitness website and the services provided by Holistic Physio Fitness (we, us, our). By accessing our website, booking an appointment, purchasing a service, or otherwise engaging with us, you agree to be bound by these Terms.

If you do not agree with these Terms, you must not use our website or services.

Holistic Physio Fitness provides regulated healthcare services including physiotherapy, exercise physiology, rehabilitation, injury management, pain management, chronic disease support, exercise prescription, education, and related allied health services.

Services are delivered by appropriately qualified and, where required, AHPRA‑registered health professionals, in accordance with Australian healthcare standards, professional codes of conduct, and relevant clinical guidelines.

Services may be delivered in‑clinic, in‑home, in the community, or via telehealth where clinically appropriate.


3. Eligibility and Use of Services

You must be at least 18 years of age to independently consent to services, unless a parent or legal guardian provides consent.

You agree to:

  • Provide accurate, complete, and current information
  • Follow clinical advice, safety instructions, and program guidelines
  • Inform us of any changes to your health, condition, or circumstances that may affect your care

We reserve the right to refuse, suspend, or discontinue services where clinically appropriate, for safety reasons, or where these Terms are breached.


4. Clinical Services and Informed Consent

By engaging our services, you acknowledge and agree that:

  • All healthcare and exercise‑based interventions involve inherent risks, including soreness, injury, aggravation of existing conditions, or unexpected outcomes
  • Individual responses to treatment vary and no guarantee is made regarding outcomes, recovery timelines, or results

You consent to assessment, treatment, and exercise participation based on information provided at the time. You agree to:

  • Disclose all relevant medical history, diagnoses, medications, and symptoms
  • Inform us promptly of any changes in your condition
  • Follow clinical advice and safety instructions

Our services do not replace emergency medical care. In the event of acute or severe symptoms, seek immediate medical assistance.


5. Appointments, Cancellations, and Non-Attendance

5.1 Appointments

Appointments may be booked online, by phone, or in person. Appointment times are reserved exclusively for you.

5.2 Cancellations and Rescheduling

We require at least 24 hours’ notice for cancellations or rescheduling, unless otherwise stated.

5.3 Late Cancellations and No-Shows

Failure to provide sufficient notice may result in:

  • A cancellation fee
  • Forfeiture of session fees
  • Loss of package or membership sessions

These fees are charged in accordance with Australian Consumer Law and industry standards.


6. Fees, Payments, Medicare and Private Health

6.1 Fees

Current pricing is available on request.

Holistic Physio Fitness may apply a surcharge for services provided on weekends and/or outside standard business hours, at the discretion of the practitioner rendering the service.

Any applicable surcharge:

  • Reflects the additional costs associated with weekend or after-hours service delivery

  • Is not automatically applied to all bookings

  • Will be disclosed to the patient upon request prior to service delivery

By proceeding with a weekend or after-hours appointment, you acknowledge and accept any surcharge in addition to the standard service fee. All surcharges are applied in accordance with Australian Consumer Law.

6.2 Payment

Payment is required on the day of service unless otherwise agreed.

6.3 Medicare, Private Health and Third‑Party Funding

Where applicable, we may process claims through Medicare, private health insurers, or third‑party funding programs. You are responsible for:

  • Ensuring eligibility and valid referrals where required
  • Any gap payments or rejected claims

6.4 Refunds

Refunds are not provided for completed services. Unused prepaid services may be refunded or credited at our discretion, subject to Australian Consumer Law.


7. Packages, Programs, and Memberships

Where you purchase packages, programs, or memberships:

  • Sessions are non-transferable unless approved in writing
  • Expiry periods may apply
  • Missed sessions may be forfeited
  • You may have direct debits in place upon agreement

Specific terms may apply to individual programs and will be provided separately where relevant.


8. Telehealth Services

Telehealth services are provided where clinically appropriate. You acknowledge that:

  • Telehealth has limitations compared to in-person care
  • A stable internet connection is required
  • Privacy cannot be guaranteed outside our systems

By engaging in telehealth, you consent to the use of electronic communication platforms.


9. Health Information, Records and Privacy

We collect, store, use, and disclose personal and health information in accordance with:

  • The Privacy Act 1988 (Cth)
  • The Australian Privacy Principles
  • Applicable health records legislation

Clinical records are maintained securely. Our Privacy Policy forms part of these Terms.


10. Intellectual Property

All content on this website, including text, images, logos, videos, programs, and educational material, is owned by or licensed to Holistic Physio Fitness.

You must not copy, reproduce, distribute, modify, or exploit any content without prior written consent.
